Position Summary:
The Document Control Specialist will be responsible for managing the documentation processes within the company. The job involves ensuring the accuracy, completeness, and accessibility of documents, records, and files.
Essential Responsibilities:

Document Management: Organizing, categorizing, and maintaining both physical and digital documents, including but not limited to technical specifications, contracts, work instructions, training records, reports, and other relevant materials. Oversee and administer document lifecycle management.

Document Control Systems: Implementing and maintaining document control systems to ensure efficient storage, retrieval, and version control of documents.

Version Control: Tracking document revisions, maintaining version control, and ensuring that the most up-to-date versions are available and in sync with product releases and changes as well as shared with authorized personnel. Older versions are archived or disposed of as per established procedures.

Quality Assurance: Verifying the accuracy and integrity of documents, including conducting reviews and audits.

Compliance and Regulations: Adhering to industry standards, regulatory requirements, and best practices related to documentation, such as accessibility guidelines, data privacy, and safety regulations.

Document Distribution: Managing the distribution and dissemination of documents to relevant stakeholders, ensuring appropriate access and confidentiality levels are maintained.

User Testing and Feedback: Gathering user feedback and incorporating insights to continually improve effectiveness and usability of documentation. Sharing feedback with appropriate teams.

Documentation Processes: Developing and implementing standardized document control procedures, workflows, change order management and best practices to enhance efficiency, consistency, and compliance across the organization.

Training and Support: Providing training and support to employees on document control systems and procedures, ensuring they understand and follow established guidelines. Maintaining the training system when training is identified in the document release process.

Collaboration and Communication: Collaborating with cross-functional teams, project managers, and other stakeholders to facilitate effective document control processes, address inquiries, and ensure accuracy as well as completeness of documentation.

Continuous Improvement: Identifying opportunities for process improvements, automation, and streamlining of document control activities, and contributing to the overall improvement of document management practices within the organization.

Document Creation: Assist process owners in creating documents, materials, and training curricula.

Support: Provide Support to Quality department in assisting with obtaining company ISO 9001 certification. Prepare ad-hoc reports on project as needed.
Skills and Specifications Required:

Associate degree with minimum 5 years of relevant functional experience

Attention to detail, critical thinker, and effective organization skills required.

Strong written and oral communication and proficient soft skills.

Strong MS Office application skills.

Must have the ability to multitask, work independently, handle matters expeditiously and the ability to work in a fast-paced team environment.

Ability to sit for long periods of time while doing data entry and validations.

Familiarity with Project Management.

Familiarity with SharePoint.
-
Knowledge of QMS and document management systems.

Experience in logistics, technology, and supply chain industry preferred.
